How to Backup QuickBooks Company File the Right Way
Your company file holds every invoice, payment, and payroll record your business has ever entered. Here's exactly how to back it up so a computer crash, accidental overwrite, or corrupted file never costs you that data.
If you've never had to restore a QuickBooks company file from a backup, count yourself lucky โ and don't wait for the day you need one to find out your last backup is months old. Learning how to backup your QuickBooks company file properly takes a few minutes and can save you weeks of re-entering data.
Why Backing Up Your QuickBooks Company File Matters
A QuickBooks company file (the .QBW file for Desktop users) is a single database holding your entire financial history. If that file is lost to a hard drive failure, deleted by accident, or corrupted during an update, there's no way to reconstruct it from memory. A recent, reliable backup is the only real protection you have.
This matters even more before any major change to your books โ switching computers, updating QuickBooks, running a large import, or handing the file off to a bookkeeper. A fresh backup means any mistake is fully reversible.
Quick rule of thumb: back up your QuickBooks company file before every software update, before any bulk data change, and on a recurring schedule โ not just "when you remember to."
Local Backup vs. Cloud Backup
- A local backup โ a
.QBBbackup file stored on your computer or an external drive, created directly from within QuickBooks. - An offsite or cloud copy โ that same backup file also stored somewhere away from your office, so a fire, theft, or hardware failure doesn't take out both copies at once.
A backup that lives only on the same computer as your working file isn't much of a backup at all. Aim to keep at least one copy off that machine.
How to Manually Backup Your QuickBooks Company File (Desktop)
- Open your company file and go to File > Back Up Company > Create Local Backup.
- Choose Local Backup, then click Options to set where the backup file should be saved โ ideally an external drive or a synced cloud folder.
- Click Next, then choose whether to back up now, schedule future backups, or both.
- Select Save it now and click Next to create the backup.
- QuickBooks saves a
.QBBfile โ this is your restorable backup, not just a copy of the working file.
Setting Up Automatic Backups
Manual backups are easy to forget, which is why an automatic schedule matters more than the manual process itself. In the same Create Backup window, choosing Schedule future backups lets QuickBooks save a backup automatically โ for example, every time you close the company file, or on a set weekly schedule.
- Set an automatic backup at least once a week, more often if you enter daily transactions.
- Keep the last 3โ5 backup files rather than just one, so you can roll back further if needed.
- Store scheduled backups in a location that's also backed up itself, like a cloud-synced folder.
Backing Up QuickBooks Online
QuickBooks Online is hosted on Intuit's servers, but that isn't the same as having your own recoverable copy. For extra protection:
- Use the built-in Export Data tool under Settings to export reports and lists to Excel regularly.
- Connect a third-party backup and sync app from the QuickBooks App Store built for QuickBooks Online.
- Keep exported backups organized by date, so you always know which version is most recent.
Restoring a QuickBooks Backup
Go to File > Open or Restore Company > Restore a Backup Copy, select Local Backup, and browse to your .QBB file. Save the restored file under a new name so your original backup stays untouched in case you need it again.
Test your backup. A backup you've never restored is an assumption, not a safety net. Periodically restore your latest QuickBooks company file backup to a test location to confirm it opens and looks correct.

- Automatic backups scheduled at least weekly
- A manual backup created before every software update or bulk import
- At least one backup copy stored somewhere other than your main computer
